Our desire is for all tour members to enjoy themselves
on the trip they are about to embark upon. ADVENTURE
CARAVANS, INC. has established the following policies
to ensure everyone has a good trip. Each participant
must sign a Waiver and Release agreement before participating
in any tour or rally. Please read and understand our
policies before departure.
Deposit required on all RV Tours is $500 per unit (except
on Overseas tours). You may make your reservation and
deposit by phone, use the form on the preceding page
or register on our web site at www.adventurecaravans.com.
Upon receipt of your deposit we will send confirmation
of your space on the tour and a receipt for your deposit.
The final tour payment is due 90 days prior to departure
(100 days for overseas tours). Sixty to 120 days prior
to the tour departure date you will receive your Trip
Preparation Packet and Rendezvous Information. If this
is a trip to Mexico your Mexico Insurance Packet will
also be included. You will receive your Trip Log at
Rendezvous. All payments must be made in US funds only.
Itineraries and rates reflected in this catalog are
for 2007 and 2008 tours and rallies only. Itineraries
and rates for 2009 are subject to change without prior
notice.

If you have to cancel your trip for any
reason, your reservation deposit will be refunded 100%,
no questions asked, up to 90 days prior to the rendezvous
date. After that all monies will be refunded except
$500 of which $250 will be returned to you in the form
of a credit toward a future trip of your choice. This
policy is necessary because many service providers require
non-refundable deposits on your behalf. ADVENTURE CARAVANS,
INC. cannot absorb these losses on late cancellations.
All cancellations must be in writing to ADVENTURE CARAVANS,
INC. The caravan officially begins at 10:00 A.M. on
rendezvous day. If you have a bona-fide emergency during
your tour or rally that prevents you from continuing,
you will receive a pro-rata credit toward a future trip
for the portion of the tour you are not able to complete,
less any unrecoverable pre-paid deposits made on your
behalf. Our refund policy is the most liberal in the
business.
All overseas trips require a $500 deposit per
person with the balance due 100 days prior to departure.
Final payment must be made by check or money order.
Cancellation fees for any reason on all overseas tours
are as follows: 120 days or more prior to departure
– all monies paid will be totally refunded, minus $50
per person; 90 to 119 days prior to departure $500 per
person; 76 to 89 days prior to departure $1,200 per
person; less than 76 days prior to departure no refunds,
however if we are able to receive reimbursement from
suppliers for your direct costs, we will reimburse you
these costs at the end of the trip. These fees are required
due to hotel accommodations, land arrangements, and
other services not used are neither refundable or exchangeable
from the suppliers as the departure date gets nearer.
Cancellation and Trip Interruption Insurance is available
on all overseas trips. It also includes emergency medical,
travel accident, and lost baggage protection. Forms
and information will be sent to you upon registration.

It is understood the only function of ADVENTURE CARAVANS,
INC. is to organize and facilitate the tour. It is agreed
that whoever is going on said trip is doing so entirely
upon their own initiative, risk, and responsibility, and
will not be acting under anyone else’s direction or control
during said trip, and to have complete and unrestricted
control over their own vehicles. Tour members acknowledge
that they will be required to sign a Waiver and Release
agreement provided by ADVENTURE CARAVANS, INC. prior to
participating in each tour, Therefore, since the only
function of ADVENTURE CARAVANS, INC. is to organize and
facilitate the tour, whoever is going on said trip agrees
to assume all risks of accident, injury, death, or damages
to themselves or their property. Further they hereby release,
hold harmless and agree to indemnify ADVENTURE CARAVANS,
INC., and its affiliates, agents, contractors, or employees
from all liability, damage claim, demands, inconvenience,
distress, frustration, or cause of action whether physical
or mental. Wagonmasters and Tailgunners are Independent
Contractors hired to facilitate your trip and are not
employees of ADVENTURE CARAVANS, INC. Neither ADVENTURE
CARAVANS, INC. nor third party providers of outside services
shall be held liable for any act, error, or omission.
acts only as an agent for the transportation
companies, sightseeing contractors, and other principals
included in the itinerary and is not a principal or
operator for the subject services. We reserve the right
to cancel or alter any itinerary as conditions require.
Changes may involve sightseeing events, shows, campgrounds,
and/or meals. Changes may be made in the best interest
of the members participating or as a result of circumstances
beyond our control. ADVENTURE CARAVANS, INC. reserves
the right to cancel any scheduled tour prior to departure.
In the event this occurs after final payment, all deposits
and payments will be refunded in full. We reserve the
right to substitute shows, performances, and tours when
scheduled events are not available. ADVENTURE CARAVANS,
INC. reserves the right to book two extra reservations
on any caravan to allow for last minute cancellations.
ADVENTURE CARAVANS, INC. is not responsible for the
actions of Independent Contractors or any expense due
to delays caused by weather, mechanical problems, or
other circumstances beyond our control.
Tour members are responsible for their personal behavior,
actions, driving infractions, insurance, mechanical
maintenance of their vehicle, and group cooperation.
ADVENTURE CARAVANS, INC’s Wagonmasters reserve the right
to decline to retain any tour member without refund
as a member of the tour if his or her conduct is contrary
to the best interest of the other tour members in the
group. Any tour member who does not show up, deviates
from or leaves the group early for any reason whatsoever
forfeits his fees paid but has the option to rejoin
the same tour later in the trip without penalty. Rally
or caravan attendees grant full permission to any and
all foregoing use of his/her likeness, including photographs
and videotape, for publicity and advertising purposes
without compensation. By accepting the tour and making
the deposit, registrant(s) understands and agrees to
abide by the terms and conditions of this agreement. |
